Corylus Retreats Ltd – Terms & Conditions of Booking

These Terms & Conditions form the basis of the contract between you, the guest, and Corylus Retreats Ltd, registered in Scotland, Company No. SC868047, for bookings at Corylus, Braes, Ullapool, including bookings for Fjell, Fjord, or Corylus whole-property use.

By booking with us, whether directly or via an online travel agency, you agree to the terms below.

Corylus is operated as short-term let accommodation in Scotland and is subject to applicable Scottish short-term let licensing, safety and fire-safety requirements. Our short-term let licence number will be displayed on our website and booking materials once issued.

Our Pledge

We promise to always do our best to be fair, respectful and compassionate people. We try to apply these principles to all aspects of our business and to all those we interact with.

Please contact us with any issues before, during or after your stay, and we will try to find a way to resolve them in a mutually satisfactory way.

We genuinely want both parties in this transaction to have an enjoyable, fair and amicable experience

1. Booking, Minimum Stay & Lead Guest

The standard minimum stay is 3 nights, following our usual stay patterns:

Monday–Friday, Friday–Monday, Monday–Monday, Friday–Friday, or combinations of these.

Flexibility outside these patterns is at our discretion.

Corylus may be booked in one of three ways:

Fjell — a one-bedroom self-catering apartment.

Fjord — a two-bedroom self-catering apartment.

Corylus whole-property use — a private-use booking combining Fjell and Fjord.

Whole-property bookings comprise two fully self-contained apartments. There is no internal connection between Fjell and Fjord, but they are close together externally and connected by a covered external walkway. This should be understood clearly before booking.

The lead guest must be 18 or over and is responsible for all members of the party and for ensuring compliance with these Terms & Conditions.

A booking is not confirmed until the required deposit has been received and we have issued written confirmation.

Bookings made via online travel agencies, including Airbnb, Booking.com and similar platforms, are also subject to those platforms’ own terms. Where there is a conflict, their terms may apply.

2. Payment Terms

A 30% deposit is required at the time of booking. This deposit is non-refundable.

The remaining balance is due 42 days / 6 weeks before arrival.

If the balance is not received on time, the booking may be cancelled and the deposit retained.

Refundable Damage Deposit / Security Deposit

A refundable damage deposit of £300 per booking applies to direct bookings, including bookings for Fjell, Fjord, and Corylus whole-property use.

For direct bookings via SuperControl, this is normally taken as a card pre-authorisation. For Bank Transfer payments/manual bookings, it may be taken via an alternative secure platform or payment method.

The £300 deposit applies to the booking as a whole. For whole-property bookings, it is not charged separately for each apartment.

The deposit may be used to cover reasonable costs arising from loss, damage, extra cleaning, rule breaches, unauthorised guests, smoking or fire-safety breaches, lost keys, or other chargeable items.

Where deductions are made, we will explain the reason and amount. Where no deductions are required, the deposit or pre-authorisation will be released or refunded after housekeeping inspection, subject to the payment provider’s timescales.

3. Cancellation by the Guest

If you need to cancel, you must notify us immediately in writing or by email.

More than 42 days before arrival

The 30% booking deposit is non-refundable.

Any additional balance already paid will be refunded.

42 days or fewer before arrival

The full balance remains payable.

We will make reasonable efforts to re-sell your dates. If we are able to re-sell all or part of your stay, we will refund the amount recovered from the replacement booking, after deducting any card, transaction or reasonable administrative costs.

We may reduce the price in order to secure a re-sale, particularly at short notice.

We strongly recommend that guests take out suitable travel and cancellation insurance, as we cannot insure against guest-related circumstances such as illness, travel disruption, bereavement, work commitments or changes of plan.

4. Cancellation by Corylus Retreats Ltd

In the very unlikely event that we must cancel your booking, we will refund all amounts paid to us for the booking.

We will not be liable for additional costs such as travel, alternative accommodation or other consequential losses, except where the law does not allow us to limit liability.

Where possible, we will try to help you find alternative dates or accommodation, but we cannot guarantee this.

5. Amendments to Bookings

Date changes may be possible solely at our discretion, depending on availability, seasonal patterns and value differences.

We are not obliged to offer alternative dates.

If a date change is agreed, any increase in price will be payable by the guest. If the alternative dates are lower in price, any reduction or refund is at our discretion unless otherwise agreed in writing.

6. Occupancy, Children & Visitors

Maximum Occupancy

The maximum occupancy depends on the booking option:

Fjell: up to 2 adults or children requiring beds, plus infants or very young children not requiring beds by prior agreement.

Fjord: up to 4 adults or children requiring beds, plus infants or very young children not requiring beds by prior agreement.

Corylus whole-property use: up to 6 adults or children requiring beds across Fjell and Fjord combined. Infants or very young children not requiring beds may be accommodated in addition to this, up to a maximum total party size of 9, by prior agreement.

The agreed occupancy must not be exceeded, even temporarily, without our prior written agreement.

No additional overnight guests are permitted without our prior written agreement.

Visitors

Daytime visitors are permitted on a reasonable and considerate basis.

Corylus is not suitable for parties, stag/hen groups, events or large gatherings. Whole-property bookings are intended for families, multi-generational stays, couples travelling together, or small groups of close friends.

Children

Children and families are welcome.

Children remain the responsibility of their parents or guardians at all times.

We are not liable for accidents resulting from lack of supervision.

7. Pets

We are sorry, no pets are permitted at Corylus, including Fjell, Fjord, and Corylus whole-property bookings.

This policy exists due to a variety of circumstances, including allergies, the nature of the building, and the practicalities of operating shared grounds.

Bringing an unauthorised pet may result in the full recovery of all reasonable associated costs, including deep cleaning, repairs, additional housekeeping, and any loss arising from cancelled or affected bookings.

Assistance dogs are considered separately where required by law. Please contact us before booking so that we can discuss your needs and the suitability of the accommodation.

8. Smoking, Vaping, Fire & Safety

Smoking and vaping are prohibited inside the buildings and on all decked areas.

A designated smoking area is provided in the garden/car-park area.

No candles, incense, oil burners, BBQs or open flames are permitted indoors or on decks.

The firepit may be used only in the designated garden area and only as set out in the guidebook.

Guests must not interfere with smoke alarms, heat alarms, carbon monoxide alarms, fire extinguishers, fire blankets or other safety equipment.

Breaches of smoking, fire or safety rules may result in the recovery of all reasonable associated costs, including cleaning, repairs, replacement items, loss of income from affected bookings, and/or cancellation of the booking where necessary for safety reasons.

9. Cleaning, Damage & Behaviour

Guests must leave the property in a reasonable state of tidiness.

Excessive cleaning will be charged at our current standard hourly rate.

Guests are responsible for any breakages, damage or loss, including lost keys.

Please report accidental damage or breakages as soon as possible. We understand that accidents happen, and early reporting helps us fix things quickly for you and future guests.

Reasonable costs may be deducted from the refundable damage deposit.

Guests must behave respectfully towards the property, neighbours, local community and environment at all times.

10. EV Charger

A shared EV charging point is provided and is charged on a Pay As You Go basis.

Charging is via the VoltShare app.

Use of the EV charger is subject to availability, fair use and consideration for other guests where Fjell and Fjord are booked separately.

Guests must only use the EV charger in accordance with the app/payment instructions.

Guests must not use domestic sockets or extension leads to charge electric vehicles.

11. Parking, Access & Winter Conditions

Parking is provided according to the booking option:

Fjell: up to 2 parking spaces.

Fjord: up to 2 parking spaces.

Corylus whole-property use: up to 4 parking spaces.

Parking is for normal domestic vehicles only unless we agree otherwise in advance.

The shared EV charging point must remain accessible. The parking bay in front of the charger must not be blocked when not in use for charging.

Access and parking are at the guest’s own risk.

The public access road is steep and can be icy; we cannot be held liable for its condition.

In severe weather, guests may be required to park in the public lower car park by the main road, approximately a 10-minute walk from the property.

We will assist where possible but we are subject to the same weather challenges as guests.

12. Noise & Respect for Neighbours

Please keep noise to a reasonable level outdoors after 21:30, particularly on the decks.

Respect for our neighbours and the environment is expected at all times.

Persistent or serious disturbance may result in the booking being terminated without refund.

13. Check-In & Check-Out

Check-in is from 16:00.

Check-out is by 10:00.

Early check-in or late check-out may be available by prior request, subject to housekeeping schedules, and is discretionary.

We do not charge additional fees for agreed early check-in or late check-out.

Late check-out without prior agreement may result in reasonable additional housekeeping or waiting-time charges.

14. Privacy & Entry

We do not use internal or external cameras.

An indoor environmental monitor records temperature, humidity and CO₂ only. It does not record sound, images or movement.

We process guest personal data, such as booking details and contact information, in accordance with our Privacy Notice.

We will not enter during your stay except in emergencies involving fire, flood, safety, serious risk of damage, or where urgent access is reasonably required. Wherever possible, we will contact you before entering.

15. Utilities, Heating & Ventilation

Guests should use heating reasonably.

The underfloor heating system responds slowly; thermostats should be adjusted gradually.

Windows and doors should be closed when heating is in use, where reasonable.

Guests must not tamper with the ASHP or MVHR systems.

A general fair-use approach applies.

16. Water & Waste

The property is on mains waste.

No wipes or non-biodegradable items may be flushed; bins are provided.

Guests may be charged reasonable costs for blockages caused by flushing unsuitable items.

The property is on mains water. An activated carbon filter is fitted to the kitchen cold-water feed to improve drinking water taste and odour.

17. Complaints and Problems During Your Stay

If something is wrong during your stay, please tell us as soon as reasonably possible so that we have the opportunity to help or put things right.

If you do not tell us about a problem during your stay, it may affect our ability to investigate or resolve it afterwards.

Any formal complaint should be made in writing or by email as soon as possible after departure.

18. Liability & Events Beyond Our Control

Guests are responsible for taking reasonable care when using the property, surroundings, driveway, steps, garden areas, decks, parking areas, firepit and other facilities.

Nothing in these Terms & Conditions excludes or limits our liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence.

We are not responsible for events outside our reasonable control, including severe weather, road conditions, illness, travel disruption, utility interruptions, or other circumstances that could not reasonably have been avoided.

Where an issue arises during your stay, you must notify us as soon as reasonably possible so that we have an opportunity to help or put things right.

Rebooking in extraordinary circumstances may be offered at our discretion but is not guaranteed.

Our liability to you is limited to the amount paid for the booking, except where the law does not allow such a limitation.

19. Governing Law

These Terms & Conditions and any dispute or claim arising from them are governed by Scottish law and subject to the jurisdiction of the Scottish courts.
